Getting Started
Once your onboarding fee and subscription are completed, our team will begin adding your brand to the Fairtrade Organics program and completing the required behind-the-scenes setup and verification. Please allow 7–10 business days for this process. Once onboarding is complete, we’ll send your Welcome Pack, Terms of Use, links to approved program resources, and next steps so you can begin setting up and offering the available Fairtrade® products under your brand.
Initial Brand Onboarding — $299
Bring Certified Fairtrade® and Organic Coffee to Your Brand
Creating a certified Fairtrade® and organic private-label coffee line has traditionally required significant inventory, large production commitments, specialized compliance knowledge and access to an established certified supply chain.
The Temecula Coffee Roasters Fairtrade® Organic Private-Label Program creates a more accessible path.
Approved brands can offer eligible certified products under their own name while using TCR’s established roasting, packaging and fulfillment infrastructure. This allows participating brands to enter this important product category without building their own roastery, establishing a separate certified handling operation or committing to the large production runs commonly associated with certified private-label products.
This program offers a unique combination of:
- Eligible certified Fairtrade® and organic coffees
- Private-label packaging under your own brand
- Individual-order fulfillment and wholesale availability
- Low-volume entry without traditional large production commitments
- Product and label approval support
- Professional roasting, packaging and fulfillment
- A scalable path from individual orders to wholesale opportunities
For the right brand, this is more than an additional coffee product. It is an opportunity to enter a highly credible product category, strengthen your values-based message and reach customers who intentionally seek Fairtrade® and organic products.
Certification is more than a logo. It is a documented system protecting the integrity and traceability of the product from its certified source through production and packaging. Every participating brand must follow the program requirements so that these claims remain meaningful and accurate.
Program Pricing
Initial Brand Onboarding: $299
The $299 onboarding fee is a one-time, nonrefundable fee for the enrollment of one brand, except where otherwise required by law.
Onboarding introduces the brand to the program, establishes its account within TCR’s certified production system and begins the product, label and compliance process.
Payment of the onboarding fee does not, by itself, approve the purchaser, brand, product, label, website listing or marketing claim.
Participation begins only after TCR has accepted the brand into the program, the required monthly subscription has been activated and all required product and label approvals have been completed.
Required Program Subscription: $29 per Month
Every participating brand must maintain an active $29 monthly subscription for as long as it lists, markets, sells or orders products through the Fairtrade® Organic Private-Label Program.
The subscription automatically renews each month at $29 until cancelled.
The subscription fee is separate from:
- The $299 initial onboarding fee
- Product costs
- Product and label approval fees
- Label design or printing costs
- Samples
- Shipping
- Marketplace or third-party fees
The monthly subscription provides continued eligibility to participate in the program. It does not include products, shipping or approval of additional products or labels.
Organic Product and Label Approval: $97 per Product/Label
Each organic private-label product and its associated label must be submitted through the required review and approval process before the product may be listed, marketed, ordered or sold.
The current fee is $97 for each product/label submission.
This fee covers the administration and submission required to add the private-label product to TCR’s certified organic program and obtain approval of the associated label. It does not independently certify the participating brand, its facilities or its overall business operations.
A new submission and fee may be required when there is a change to:
- The product
- The product name
- The label
- The brand identity
- The product size or format
- The distributor statement
- A certification statement or mark
- Another regulated or certifier-controlled element
Fairtrade® and organic products are listed separately from TCR’s conventional products and may carry an additional product premium.
What Initial Onboarding Includes
The initial onboarding includes:
- Enrollment of one brand in the program
- Access to eligible program products after approval
- An explanation of how the program operates
- Program labeling and marketing requirements
- Instructions for submitting products and labels
- Initial review of proposed products and labels
- Coordination with the applicable certification or approval process
- Access to TCR’s certified roasting, packaging and fulfillment infrastructure
- Eligibility to order approved products while the monthly subscription remains active
- General support with maintaining program compliance
The onboarding fee does not include products, samples, shipping, label design, label printing, individual product and label approval fees or the required monthly subscription.
TCR’s support consists of general operational and compliance guidance. It is not legal advice and does not transfer responsibility for the brand’s conduct, claims, labels, advertising or marketplace activity to TCR.
How Certification Applies
TCR operates the certified production and handling system through which approved products are produced, packaged and fulfilled.
Participation in this program does not mean that the participating brand, its business, its facility or every product it offers is independently certified.
A participating brand may only represent the specific products approved through this program as Fairtrade®, organic or dual-certified, as applicable to each product.
Participating brands may not state or imply:
- That the brand itself is certified unless it holds its own applicable certification
- That every product sold by the brand is certified
- That an unapproved product is Fairtrade® or organic
- That TCR’s certification applies to products made, repacked or fulfilled elsewhere
- That approval of one product extends to another product, label or format
All certification references must accurately describe the approved finished product and must follow the language authorized by TCR and the applicable certification or trademark organization.
Product and Label Approval
Every program product and associated label must receive final approval before it is listed, advertised, ordered or sold.
Approval applies only to the exact:
- Participating brand
- Product
- Product formulation
- Product size and format
- Label submitted
- Certification statements and marks shown
- Responsible-party or distributor information
Approval of one product or label does not authorize its use on another product.
Participating brands may not:
- Add Fairtrade®, organic or similar claims to an unapproved product
- Apply an approved label to a different product
- Alter an approved label without prior review
- Create or modify certification language
- Modify or recreate certification marks
- Use program marks in unrelated brand advertising
- Use TCR’s certification to support products produced or handled elsewhere
- Repack, relabel, alter or commingle program products after receiving them
- Transfer product or label approval to another person, business or brand
Where required, the label must identify the certifying agent that certified the handler of the finished product using the approved language and placement.
TCR may require review of product pages, marketplace listings, advertisements, social-media materials or other representations using Fairtrade®, organic or related certification claims.
Limited Use of Certification Marks
Participation provides only a limited, conditional and revocable right to use the certification language and marks specifically approved for an approved program product.
All certification marks remain the property of their respective owners. Participation does not transfer ownership of or create an unrestricted license to any certification mark.
The brand may use certification language or a certification mark only:
- On the product and label for which it was approved
- In the approved form, proportions, colors and placement
- While the product approval remains valid
- While the required subscription remains active
- In accordance with TCR’s instructions
- In accordance with the applicable certifier’s or trademark owner’s requirements
Any required separate Fairtrade license, registration, agreement or approval must be completed before the brand uses the FAIRTRADE Mark or related Fairtrade® claims.
TCR may require the immediate correction or removal of any unauthorized, expired, misleading or noncompliant use.
Monthly Subscription and Automatic Renewal
The required program subscription costs $29 per month and renews automatically each month using the payment method provided until cancelled.
By completing the subscription purchase, the purchaser expressly authorizes TCR to charge the payment method provided $29 each month.
Before the subscription purchase is completed, the purchaser will be shown:
- The recurring monthly price
- The billing frequency
- When recurring billing begins
- How to cancel
- The effect cancellation or payment failure has on program participation
A copy of the subscription terms and cancellation instructions will be provided electronically in a form the purchaser can retain.
The subscription may be cancelled through the customer account or by emailing coffee@
Cancellation stops future renewals. Unless TCR suspends the account sooner for nonpayment or noncompliance, program access continues through the end of the current paid billing period.
Subscription payments already charged are not prorated or refunded except where required by law.
TCR will provide notice of material subscription changes as required by applicable law.
Inactive, Cancelled or Unpaid Accounts
If a required subscription payment fails or the subscription otherwise becomes inactive, the account may be suspended immediately.
During a suspension or after program participation ends:
- New Fairtrade® and organic orders will not be accepted or fulfilled
- Pending orders containing affected products may be placed on hold or cancelled
- The brand must stop creating new listings or advertisements for program products
- Affected products must be removed or deactivated from active sales channels as directed by TCR
- The brand must stop using Fairtrade®, organic and related certification marks or claims except as expressly authorized in writing
- The brand may not represent itself as an active program participant
The treatment of compliant inventory manufactured while the account was active—including any permitted sell-through, relabeling, withdrawal or disposal—will be governed by TCR’s written instructions and the requirements of the applicable certification and trademark organizations.
The brand may not assume that cancellation automatically creates a right to continue selling existing inventory or using certification marks.
Lapses Longer Than 60 Days
If the required subscription remains inactive for more than 60 consecutive days, the enrollment will be considered lapsed.
To return to the program, the brand must:
- Purchase a new $299 onboarding
- Activate a new $29 monthly subscription
- Complete the then-current acknowledgment and training requirements
- Resubmit products and labels when required
- Pay applicable product and label approval fees
- Complete any newly required licensing or documentation
Previous approval does not guarantee that an earlier product, label, listing or claim will be approved again.
Traceability and Recordkeeping
Program products must remain within TCR’s approved production, packaging and traceability system.
Participating brands agree to:
- Order program products only through the approved TCR ordering process
- Maintain accurate records of program purchases and sales
- Preserve relevant invoices and product documentation
- Provide requested listings, labels and marketing materials to TCR
- Cooperate with certification reviews, audits, investigations or corrective actions
- Promptly report regulator, marketplace or consumer inquiries involving certification claims
- Not alter lot identification or traceability information
- Not repackage, relabel, blend, flavor, modify or commingle certified products
- Not send program products to an unauthorized third party for further processing
- Follow all recall, withdrawal or corrective-action instructions
TCR may request information reasonably necessary to protect product traceability, certification integrity or regulatory compliance.
Brand Responsibilities
Each participating business remains the owner and responsible party for its brand.
The brand is responsible for:
- Its product names
- Its labels and packaging artwork
- Its website and product pages
- Its advertisements and social-media content
- Its certification and product claims
- Its distribution statements
- Its business licenses and registrations
- Its marketplace applications
- Its retail and wholesale representations
- Its compliance with federal, state, local and marketplace requirements
- Obtaining qualified legal or regulatory advice when needed
The brand agrees to use only the final files and language approved through the program.
TCR’s review is intended to protect TCR’s certified operation and help administer the program. It is not a legal opinion or a guarantee that every aspect of the brand’s business complies with every law, regulation, retailer policy or marketplace rule.
Immediate Suspension and Enforcement
TCR may immediately suspend product access, production, fulfillment or use of program materials when TCR reasonably believes that continued activity may:
- Violate certification requirements
- Violate trademark or licensing requirements
- Violate applicable law
- Mislead consumers
- Compromise product traceability
- Create risk for TCR or another participating brand
- Damage the integrity of TCR’s certified operation or the certification program
TCR may require corrective action before reinstating an account or product.
TCR may terminate participation for:
- Misuse of a certification claim or mark
- Use of an unapproved or altered label
- Failure to maintain the required subscription
- Repacking or modifying a program product
- Failure to provide requested records
- Failure to complete a required correction
- Materially false or misleading product representations
- Conduct that places TCR’s certification or regulatory standing at risk
Orders placed while an account or product is under review may be held or cancelled.
Product Availability and Pricing
Certified coffee availability depends on harvests, imports, supplier availability, certification status, quality and TCR’s current product catalog.
Specific origins, products, formats and roast profiles are not guaranteed to remain available indefinitely.
TCR may update, substitute, discontinue or temporarily suspend a program product when necessary to protect quality, availability, certification integrity or operational continuity.
TCR will not substitute a product in a way that creates an inaccurate certification or labeling claim.
Product prices, program fees and approval costs may change with notice. A material change to the monthly subscription price will be communicated before it takes effect.
No Guarantee of Approval or Results
Participation does not guarantee:
- Approval of a proposed product or label
- Approval of a product name or marketing claim
- Approval by a marketplace or retailer
- Continued availability of a specific coffee
- Continued acceptance by a certification organization
- Customer demand
- Sales, revenue or profitability
- Exclusivity within a market or product category
The program provides access to infrastructure, eligible products and an approval process. The participating brand remains responsible for building, marketing and operating its business.
Responsibility for Unauthorized Brand Activity
The participating brand is responsible for claims, labels, advertisements, alterations and representations created or made by the brand or its agents.
To the extent permitted by law, the brand agrees to protect and reimburse TCR for third-party claims, certification costs, corrective-action costs, losses or expenses arising from:
- An unauthorized label change
- An unauthorized certification claim
- Misuse of a certification or trademark
- Repacking or alteration of a program product
- False or misleading advertising created by the brand
- The brand’s violation of these terms or applicable law
This provision does not apply to the extent a claim results directly from TCR’s gross negligence, willful misconduct or failure to produce an approved product according to its certified process.
Limitation of Liability
To the extent permitted by law, neither party will be liable to the other for indirect, incidental, special, punitive or consequential damages, including lost profits or lost business opportunities.
Except for payment obligations, misuse of intellectual property, indemnification obligations, fraud, gross negligence or willful misconduct, TCR’s aggregate liability arising from this program will not exceed the program fees paid by the participating brand during the 12 months preceding the event giving rise to the claim.
